Recording Meetings
Record meetings directly in Paradino, right from your browser, and turn them into summaries. Follow along with a live transcript, keep a meeting agenda beside you, and recover a recording if you're interrupted.
Where recordings live
Meetings are organised into two areas in the sidebar:
- Client Meetings: meetings that involve or are about a client.
- Internal Meetings: meetings across your practice or team.
Each area has a Recordings tab, where your recordings are captured and listed, and a Summaries tab, where the meeting summaries you generate from them appear. A recording stays in its Recordings library so you can revisit it, retry it, or create a summary from it whenever you're ready. If a recording was filed against the wrong client, you can move it to another client from the recording's details.
Starting a recording
- Click Record in the top navigation bar. (While a recording is already running, the same button reopens the active recorder.)
- Choose your meeting source when prompted:
- In-person meeting: captured by your microphone.
- Solo note: dictate a note on your own; Paradino knows there's a single speaker.
- Virtual meeting: capture a call running in your browser. If your browser can't capture call audio, this option is unavailable. Use a supported browser such as Chrome.
- Allow Paradino access to your microphone when your browser asks. A set of capture controls appears.
- Use Pause and resume as needed during the meeting. If Paradino stops hearing anything, it warns you that the microphone has gone silent so you can check it before you lose content.
- When you're done, stop and finalise the recording so it saves to your Recordings library.
You don't have to wait for a recording to finish processing before starting the next one. As soon as a recording is saved, you can start recording again. A floating Processing indicator keeps track of recordings still working through the pipeline, with buttons to view them or start a new recording.
Recordings are limited to 3 hours. If a recording reaches that length, Paradino saves it automatically so nothing is lost. You'll see a "Recording saved automatically" message.
Following the live transcript
While you record, a Live transcript panel sits beside the capture controls and fills in with speaker-labelled lines as people talk. Newly-heard words may appear briefly as a lighter draft line before Paradino confirms them.
- The transcript starts automatically when recording begins. There's no separate switch to turn on.
- A status label shows the connection at a glance, for example Transcript on or Transcript connecting.
- Treat the panel as a live preview. You can still edit the transcript text and correct speaker labels after you save the recording.
- If live transcription can't run (for example, during exceptionally high demand), you'll see a note such as "Live transcription is unavailable. Recording and post-meeting processing will continue normally." Your audio is always captured regardless.
Setting the expected speaker count for a meeting helps Paradino label speakers accurately in the transcript. The live transcript is available on Pro Max.
Using a meeting agenda
Meeting agendas are available on Pro Max.
You can prepare an agenda before you start recording and have Paradino keep it beside you during the meeting.
Before the meeting, in the Meeting agenda section of the recording setup:
- Describe what the meeting should cover in the prompt box: "What should the meeting cover? Type @ to reference a document." You can reference up to 5 knowledge-base documents with
@. - Click Generate agenda to have Paradino draft a checklist of agenda items. Use Regenerate to try again.
- Fine-tune the list: add your own items, edit or reorder them with the drag handle, exclude ones you don't need, or Clear the list to start over.
During the meeting, the agenda becomes read-only and appears as a live Agenda card next to the transcript:
- An Up next list shows the topics still to cover.
- Paradino ticks items off automatically as the conversation covers them, moving them into the Covered list. Items it detects on its own are tagged Auto.
- A progress counter (for example, "3 / 8 covered") tracks how far through the agenda you are, and markers are woven into the transcript as items are covered.
Recovering an interrupted recording
If your browser tab closes or crashes mid-meeting, Paradino keeps the audio it captured on your device and helps you pick up where you left off.
- While a recording is active, a floating Recording indicator stays visible with an Open button to jump back to the recorder.
- If your recording was interrupted, the indicator changes to Finish saving recording, and opening the recorder shows a "Finish saving your recording" screen with three choices:
- Continue recording: carry on with the same recording.
- Finish saving: stop here and keep what was captured.
- Discard: throw the recovered audio away.
Saved audio syncs in the background automatically. Paradino retries on its own, so you don't need to do anything special to protect it.
Retrying a recording that didn't process
If a recording finishes but doesn't process cleanly, open it from the Recordings library and use the More actions (⋮) menu:
- Select Retry processing.
- Paradino re-queues the recording through its processing pipeline, and the recording shows as Processing again. You'll see a "Recording reprocessing" confirmation.
Once the recording reaches Ready, you can create a summary from it. Recordings that need attention show a clear status in the library (such as Needs review, Failed, or Recoverable) so you know which ones to revisit.
How long recordings are kept
Your practice controls how long recording audio is stored. An organisation owner sets the default in User settings → Organisation, under Recording retention:
- Default audio retention can be set to 7 days, 30 days, or Indefinite. New practices default to 30 days.
- Changing this applies to new recordings only. As the setting notes, "This only applies to new recordings, old recordings will keep their existing retention policy."
On each recording you'll see its Retention policy and, where a limit applies, when the audio expires (for example, "Expires on…"). After the audio retention period ends, playback and download are no longer available, but any summaries you've already generated remain. Transcripts and the content derived from them are kept indefinitely.
Only organisation owners can change recording retention settings. If you can't see the Organisation tab in User settings, ask your practice's owner to adjust it.
