The Client Workspace
The Workspace is a complete reimagining of our previous "Insights" module. It's a dedicated hub for each client, centralising all their information for easy access and analysis.
Once you select a client from the sidebar, you can navigate to their Workspace. Inside, you'll find four key tabs:
Insights Report
This is the heart of the Workspace. Here, you can generate a detailed, on-demand client insights report. This report is compiled by Athena using all available information, including meeting summaries, advice documents, and files in the client's Knowledge Base.
The report provides a comprehensive overview, including:
- Client Summary: A high-level narrative of the client's situation and goals.
- Advice Journey: A chronological timeline of all interactions and advice provided.
- Goals & Objectives: A structured table of the client's goals, their progress, and the evidence source.
- Financial Snapshot: A detailed breakdown of assets and liabilities.
- Risk & Capacity: An analysis of the client's documented risk profile and capacity to invest.
- Achievements & Missed Opportunities: Successes and potential areas for future advice.
- Red Flags & Compliance Needs: Highlights material issues, outstanding actions, or compliance risks that require attention.
You can generate this report at any time to prepare for a review meeting, identify new opportunities, or simply get a comprehensive snapshot of the client's file.
Knowledge Bases: The Power of Athena
Knowledge Bases are central repositories where you can upload documents to be digested and used by Athena. This makes your AI assistant more powerful and your advice workflows faster and more personalized. There are two types of Knowledge Bases:
Client Knowledge Base
- Location: Found within each client's Workspace.
- Purpose: To store files and documents that are only relevant to a specific client. This builds a rich, historical context for every client file, that can be used in Q&A or research by Athena in both Workspace and Strategy Assist.
- Examples: Fact finds, previous advice documents, product research, insurance quotes, cashflow projections, client emails.
Practice Knowledge Base
- Location: Under the "Practice" section in the main sidebar.
- Purpose: To store documents that are relevant to your entire practice or licensee and provide input to generating Strategies, Advice Requests or RoAs. You can prompt Athena to use these in Strategy Assist during the advice documentation process. Some document types are pro-actively integrated into Strategy Assist (see below examples).
- Examples:
- Licensee standards for RoAs: Athena will cross check this when generating RoAs to ensure compliance.
- Model portfolios: You can prompt Athena to use these to construct portfolios for a Strategy Paper.
- Standardised recommendation text: If available, Athena will use these for recommendation wording in RoAs.
- Risk profiles: Athena will cross check these and flag variances when working through the Advice Request or task in Strategy Assist.
How to Use Knowledge Bases
Simply drag and drop files (or click to upload) into the relevant Knowledge Base. Athena supports most common document formats, including:
- PDF (.pdf)
- Microsoft Word (.docx)
- Microsoft PowerPoint (.pptx)
- Microsoft Excel (.xlsx)
- HTML files (.html)
There is a 5Mb limit per file. 2 files per knowledge base for Starter Plan users, unlimited for Pro. There is no specific page limit for PDFs, however, we advise against uploading long Product Disclosure Statements (100+ pages). We also do not process images at this time.
Once uploaded, the files will be digested by Athena and become available to power insights, answer questions, and assist in generating advice in Strategy Assist.
An Integrated Athena
Athena is fully integrated into the client workspace and has all your meeting summaries, advice documents and knowledge bases at her disposal to answer questions about the client, perform research or compliance tasks. Simply ask her a question in the chat window. She now accepts voice input, and file uploads, including:
- PDF (.pdf)
- Microsoft Word (.docx)
- Microsoft Excel (.csv)
- HTML files (.html)
- Text files (.txt)
- Audio/Video (same as meeting summaries)
Voice input and file uploads are only available for Pro users. She has a 10Mb limit per file.
