Athena Tasks
Hand a task to Athena and it does the work for the client, then passes the draft to a reviewer to accept.
Combine Athena tasks with Starts after in a workflow, and a stage can run from the review meeting to a drafted Statement of Advice. Each task starts as soon as the ones before it are done, and a person accepts every draft.
How an Athena task works
- Athena does the work, a person accepts it. Whoever the task is assigned to is its reviewer. Athena works in the client's Workspace and hands the draft to the reviewer, who accepts it to complete the task.
- A team or unassigned task goes to the client's adviser. Athena needs one person to review its draft, so it uses the client's adviser when the task has no single assignee.
- You can see when Athena is working. While Athena is drafting, the task shows an Athena working chip, and the client's card on the pipeline board shows a sparkle. Tasks Athena drafts carry an Athena badge beside the assignee.
- Notifications bring you back. The reviewer is notified when a draft is ready to review, when Athena needs input to start, and when it couldn't finish. You can turn each of these on or off in Settings.
What Athena can produce
Choose what the task produces with Athena produces:
| Output | What Athena does |
|---|---|
| Workspace document | Drafts a document in the client's Workspace, optionally from a document template. |
| Workspace presentation | Builds a presentation in the client's Workspace. |
| Meeting summary | Summarises the client's meeting recording. |
| Advice document | Drafts a Statement of Advice, Record of Advice, strategy paper, advice request or quick request in Strategy Assist. |
| Information request | Sends the client an information request, and is ready for review once the client replies. |
| Strategy handoff (modelling or research) | Prepares modelling scenarios or product research in the Workspace, ready to hand on to an advice document. |
For a Workspace document or presentation, two switches decide whether Athena may build a financial model or create a product research scenario without asking first. Allow modelling and Allow product research are both off by default.
Giving Athena an Athena task
In a workflow
In Workflows, open a task template and turn on Athena drafts this in its Athena section. Then:
- Pick the output with Athena produces.
- Fill in what Athena needs. Each output has its own fields, such as the summary template or the advice document's template. Set a field yourself, let Athena find it (for example, the client's latest recording), or choose Ask the reviewer so the task waits for the reviewer to choose before Athena starts.
- Choose the reviewer under Who and when. The assignee field is labelled Reviewer for an Athena task.
- Save the workflow. Every client who enters the stage gets the task, and Athena starts on it.
Only organisation owners and practice managers can edit workflows. An Athena task completes when its reviewer accepts the draft, so it has no auto-complete setting.
As a one-off task
Select New task on the Tasks page, pick the client and turn on Athena drafts this. Athena starts as soon as you select Create task. An Athena task always needs a client, because Athena works in that client's Workspace.
Tasks that start after others
Set Starts after on a workflow task to the tasks in the same stage that must be done first. Leave it as Stage entry for a task that starts when the client enters the stage.
- Waiting tasks. When a client enters the stage, a task that starts after others is created as Waiting. It shows what it's waiting for and has no due date yet.
- Released when ready. When every task it starts after is completed, the waiting task opens. Its Due (days) count from that moment, and if it's an Athena task, Athena starts on it.
- Earlier work flows forward. An Athena task picks up the work of the tasks it starts after. A summary task uses the recording from the meeting task, and an advice document uses the summary, modelling and research handed on before it.
- Don't want to wait? Select Start now on a waiting task to open it straight away.
- Cancelling an earlier task. If other tasks start after a task you cancel, Paradino asks whether to cancel them too or let them start without it.
Starts after works on any task, not just Athena's. Use it to hold a human task until the work it depends on is finished.
Reviewing Athena's work
Open the task to see the Athena panel. It shows where Athena is up to, the skill and template it used, and a link to the work: Athena's chat, the strategy session, the meeting summary or the information request.
- Accept the draft. When the task is In review, check the work, then select Accept draft to complete the task. Only the reviewer can accept.
- Give Athena what it needs. A task that's Needs input shows only the fields Athena couldn't fill, for example a meeting summary when none was found. The reviewer fills them in and selects Start Athena.
- When Athena stops. A Blocked task explains why, for example a skill that's still a draft or a connector the reviewer hasn't connected. Fix the cause, then select Retry with Athena.
- Do it yourself. Select Do it myself to take the task over from Athena. It becomes an ordinary task assigned to you, and any work Athena is still doing stops.
An Athena task can't be ticked off by hand. To finish it yourself, choose Do it myself first.
Annual review with Athena
Annual review with Athena is a default workflow template that carries a review from the meeting to a drafted Statement of Advice. Add it from New workflow in Workflows, then adjust it to suit your practice.
Its one stage, Annual review, has six tasks, all reviewed by the client's adviser:
- Hold the review meeting. You hold and record the meeting. The task completes when the recording is saved.
- Review summary. Athena writes the meeting summary.
- Confirm Client Profile changes. You confirm any open changes to the client's Client Profile. The task completes once none are left.
- Model scenarios. Athena models the strategies.
- Product comparison. Athena prepares the product research, alongside the modelling.
- Draft the Statement of Advice. Athena drafts the SoA from the summary, the modelling and the research.
Each task starts when the ones before it are done, so the adviser's time goes to reviewing each step rather than starting the next one.
Using skills with Athena tasks
Skills teach Athena how your practice works: a procedure, an advice policy, a writing style or required wording. Athena applies them on tasks just as it does in chat:
- Workspace document, presentation and strategy handoff tasks can name a skill with Skill (optional). Athena follows it for that task. A procedure skill can also carry a document template, which Athena drafts from unless the task picks another.
- Advice documents apply every skill your practice has set for advice documents or strategy papers.
- Meeting summaries apply your writing style and compliance skills.
Only published organisation skills, and licensee skills your practice uses, can be named on a workflow task. Personal skills can't, because the task may be reviewed by someone else.
Requirements
- Plan. Athena tasks need a Pro or Max plan. Drafting a Statement or Record of Advice needs Max.
- Auto mode. An Athena task drafts an SoA or RoA in Auto mode, so your organisation must allow Auto mode.
- Connectors. Modelling and product research use the reviewer's connected services. If the reviewer hasn't connected what an earlier task handed on, the task is blocked until they do.
- Daily limit. Athena can run a client's workflow tasks up to 20 times a day. Past that, try again the next day or finish the task yourself.
